Overview

Reporting to the Chief Commissioner, this role provides senior-level executive coordination, advisory, and operational support to the Chief Commissioner and Commissioners.

The position ensures the efficient functioning of the Commissioners’ Office by managing priorities, coordinating operational activities, and supporting communication and workflow across a multi-member decision-making body.

This role operates at the intersection of executive support, coordination, and analytical assistance, requiring strong judgment, discretion, and organizational excellence.

Responsibilities

  • Provide high-level coordination support to the Chief Commissioner and Commissioners, ensuring priorities and commitments are effectively tracked and executed
  • Provide research, analysis, and preparation of briefing notes and presentations to support decision-making
  • Coordinate complex scheduling and logistics across multiple Commissioners, balancing competing priorities and ensuring readiness for committee participation
  • Prepare meeting agendas (in consultation with the Chief Commissioner), and coordinate related materials and documentation
  • Identify and implement process improvements to enhance operational efficiency and effectiveness
  • Collaborate with internal stakeholders to achieve common goals, business objectives, and efficiencies.
  • Provide back-up and support duties to ensure operational needs and timelines are achieved.
  • Prepare divisional reports for business activities to reflect metric data, volume, usage, records management, or other statistical data for trend analysis.
  • Facilitate effective communication between the Commissioners’ Office and internal and external stakeholders
  • Exercise sound judgment and discretion in handling sensitive, confidential, and adjudicative information

Qualifications

  • University degree in Public Policy, Business, Economics, Law, or a related discipline
  • 4–6 years of progressive experience in Policy, advisory, business analysis, or executive-level support roles
  • 4–6 years of progressive experience in Supporting senior leaders or governance bodies in a complex organizational environment
  • Proficient knowledge of Microsoft Office (Word, Excel, PowerPoint, SharePoint), Teams, and ability to be trained in other digital platforms as they are integrated in operations.
  • Experience in preparing briefing materials and executive level communications.
  • Strong organizational skills with strong attention to detail and demonstrate ability to provide high level of accuracy.
  • Strong interpersonal and communication skills (written and verbal).
  • Ability to manage conflicting priorities and tight timelines.
  • Collaborative with the ability to build relationships across all levels.
  • Exposure to regulatory, adjudicative, or public sector environments is an asset.
  • Bilingualism (English/French) is an asset.
